Idea Submission Template

The people closest to the work see the most opportunities — but only if raising an idea is easy and answering it is guaranteed. This one-page template lowers the barrier to submitting an idea and, just as importantly, commits the organization to responding to every single one. The response discipline is what keeps ideas flowing.

When to use it

The situations it fits

  • When operators see problems daily but have no channel to raise them
  • When a suggestion scheme died because ideas disappeared into a black hole
  • When improvement depends entirely on managers and engineers
  • When you want a steady pipeline of small, practical improvements

How to use it

Step by step

  1. 1.Make the form available where the work happens — not behind a login or an office door
  2. 2.Keep it to one page: the idea, the problem it solves, and the expected benefit
  3. 3.Commit to a response time and answer every idea, even when the answer is 'not now, and here's why'
  4. 4.Implement the good ones quickly and visibly, crediting the person who raised it
  5. 5.Track submissions, responses, and implemented ideas so the system stays healthy

Illustrative example

What it looks like in practice

A machine operator submits an idea to relocate a parts bin that forces her to walk twelve extra steps per cycle. The team leader responds within two days, the bin moves that week, and the change saves a few seconds per cycle across three shifts. The operator's next idea arrives the following week — because the first one was answered.

This example is illustrative, not a client case study.

Common mistakes

What to avoid

  • Collecting ideas without a committed response time — silence kills the system
  • Only implementing big ideas and ignoring the small ones that build the habit
  • Making submission complicated: long forms, approvals, or logins
  • Forgetting to credit and celebrate the people whose ideas get implemented
